Account protection
Give every company in Salefy one owner, protect new owners for a set time, and let only managers move companies. An optional add-on for admins.
Account protection gives each company one owner. When you become the owner of a company, it is protected for a set time. To keep it, you log a visit or meeting with the company in time. It stops two reps from working the same customer.
Account protection is optional and off until an owner or admin installs it. Nothing in this page applies until then. The examples use the defaults: 90 days of protection, and 30 days to log a visit or meeting.
For everyone
How protection works
- A company is identified by its Account ID (registration number) and Billing country. A company without an Account ID is not protected.
- When you create a company with yourself in Assigned to, or a manager assigns it to you, protection starts.
- You must log a qualifying contact within the contact period (default 30 days). If you don't, you lose the company.
- With a contact logged, the company stays yours until the end of the protection period (default 90 days). Then you lose it, and a manager can assign it again.
- A confirmed order also keeps the company protected for a while.
Losing a company means its owner is cleared. This happens in a daily run in the morning.
Keep a company protected
Log a completed visit or meeting on the company.
Open the company and click Log activity.
Choose Visit or Meeting as the Type.
Enter a Title *, the Date & Time * of the visit, and set Status to Completed. Visits and meetings start as Scheduled, which does not count.
Click Log activity.
The activity must be linked to the company and dated on or after the day protection started. An activity logged only on a contact or an opportunity does not count unless it is also linked to the company. See Activities and tasks.
Check a company's protection
The company page shows one line with the status:
- "Protected until" a date: the company is protected.
- "Contact needed by" a date: log a visit or meeting by this date.
- "Not protected: no owner": nobody owns the company.
- "Not protected: no registration number": the company has no Account ID.
The Protection tab shows the status, whether there is a Qualifying contact, and the Owner history: every owner change with the date, the previous and new owner, who made the change and why. "system" means a background job made the change.
When a company is already in the CRM
You can't create a second company with the same Account ID and country. You see one of these messages:
- "You already have this company in the CRM." You own the existing company. Search for it in Companies.
- "This company is protected until" a date. Another user owns it, and your manager is told about the attempt.
- "This company is already in the CRM. A manager has been asked to assign it to you." Nobody owns it, and your manager gets an email.
The messages never show who owns the company.
Change a company's owner
Only managers and admins can change Assigned to on an existing company. If you try, you see "Only a manager can change the account owner." Ask your manager to reassign it.
For managers
Managers and admins get emails when:
- a rep tries to create a company that someone else protects ("Blocked:" followed by the company);
- a rep tries to create a company that is in the CRM without an owner ("Assign" followed by the company);
- the daily run removes owners ("accounts lost their protection"), with the list of companies.
To assign a company, open it, edit it and set Assigned to. The new owner gets a new protection period, and the change is added to the Owner history.
The Expiring protection page lists companies whose deadline is coming up and companies freed in the last 7 days.
For admins: install and settings
Go to Administration → Plugins and open Account protection.
Check the Settings (see below). Plan the first contact deadline before you install.
Review Requested permissions and tick I grant these permissions.
Click Install. Protection starts for companies that already have an owner and an Account ID.
| Setting | Default | Effect |
|---|---|---|
protectionDays | 90 | Length of the protection period in days. |
contactDays | 30 | Days the owner has to log a qualifying contact. |
contactTypes | visit, meeting | Activity types that count as a contact: call, meeting, note, email, visit. |
warnDays | 7 | How many days ahead the Expiring protection page looks. |
defaultCountry | CZ | Country code used when a company's Billing country is empty. |
requireNumber | off | When on, users must enter an Account ID when they create a company. |
orderMonths | 12 | Months a confirmed order keeps a company protected. 0 turns this off. |
Changes to protectionDays and contactDays apply to new protection periods only.
Install gives every company with an owner and an Account ID a new period dated on the install day. Contacts logged before that day don't count, so any company without a completed visit or meeting by day contactDays loses its owner. Ask reps to log their visits right after install, or raise contactDays for the first cycle.
To pause protection, use Disable on the plugin page. Nobody loses a company while it is disabled. Uninstall deletes the owner history, so use Download data (JSON) first if you need it.
